What you walk away with
A one-page Systems Roadmap, sent within 24 hours.
-
1
Your actual tool inventory Every subscription in the business, what each one is seated for, and which of them overlap. Most companies have never had this on one page.
-
2
Where your people are the integration Which handoffs run on copy and paste, how many times a day each one happens, and which are the ones that break when you get busy.
-
3
What that costs in your own numbers Your own loaded hourly rate, your headcount, your subscription spend. We supply the method; you supply the figures.
-
4
Connect or build: your options, costed Named against your systems: which tools to connect, which to replace with one custom platform, and what each option costs and saves at your numbers. Sequenced by what pays back first.
-
5
An honest recommendation Including "your stack is in reasonable shape, do not spend money on this" when that is the truth. It happens, and we will say so.
Here about the AI front desk?
The same call covers it. We map which hours, channels and languages your enquiries go unanswered in, and size that gap at your own booking or order value. If a front desk fits, the next step is a 14-day free trial. How the front desk works →
How we work
SmartFlow Dynamics runs the audit and maps where your operation is losing hours and subscription dollars. Our engineering team then connects what you keep, or builds one custom platform to replace what you don't, at a price that makes sense against what it saves.
You work with us throughout: the audit, the scoping, the build, the go-live and everything after. One team, one point of contact, one number to call. And if the audit shows the work would not pay for itself, we say so and you keep the roadmap.
From this call to a working system

2
Your custom roadmap Within 24 hours: connect, build, or a mix. Yours to keep.
-
3
Written scope and ROI The price, and the subscription savings we project from your numbers. Nothing starts until you agree.
-
4
Engineered for you Our engineering team builds it alongside your team, with no downtime.

5
Go-live, and beyond Ongoing support as your business grows. You call us.
The first three stages cost nothing and commit you to nothing.
What we can build once we know
Scoped from the roadmap, in the order that pays back first.
No downtime, either way. Connections run as a lightweight layer alongside the systems you already own. A custom platform runs alongside your current tools, and your team moves across only once it is ready.
On what custom integration work costs
Domestic development agencies routinely quote in the tens of thousands for a single custom integration. That is why most businesses your size never build one, and keep paying for it in staff hours instead. Our engineering team is set up to change that arithmetic for businesses your size.
We do not publish a price, because the honest one depends on how many bridges you need and what your systems expose. The audit is what establishes that. You get the number in writing, before any commitment. We have no case study numbers to quote you. What we have is your own arithmetic, done properly.
What actually happens on the call
Thirty minutes. No deck.
- 0–5 min
Your operation and how work reaches you Headcount, volume, and the shape of your customer base.
- 5–18 min
We walk your stack, tool by tool What each system is for, who is seated on it, and every point where a person carries data from one to the next.
- 18–26 min
We size it in your own numbers Live, on the call, using your subscription spend and your own loaded hourly cost.
- 26–30 min
Whether this is worth doing at all If it is, we scope what it would take. If the payback is not there, we will tell you that instead.
A good fit if…
- You run a small or mid-sized business, roughly 10 to 200 people
- Eight or more software subscriptions are in daily use across the team
- At least one person re-keys the same data into a second system every day
- Your software spend has grown faster than your revenue
- You have no software engineers on payroll and do not want any
Probably not worth your time if…
- You already employ developers who own your integrations
- You are a team of two or three, the arithmetic rarely works at that size
- You are mid-migration onto a new core system, come back when it has settled
- You want a price before a conversation, it is scoped to the work, so we quote after the audit rather than before
Questions people ask first
Is this really free, or is it a sales call?
It is free and the roadmap is yours regardless. We are straightforward about the commercial side: some work is delivered with engineering partners, and we may share in their fees when a client goes ahead. That is why we can spend thirty minutes on it, and why we would rather tell you when it is not a fit.
Does this industry matter? We are not a software company.
The industry matters far less than the pattern. It looks the same in professional services, field services, logistics, hospitality, clinics, wholesale and e-commerce: a handful of good tools, nothing built to connect them, and a person in the middle carrying the data across. If that describes your week, the audit will find something. Where your industry runs a system of its own, we confirm what it can connect to during scoping, in writing.
Will custom integrations disrupt the systems we already run?
No. When we connect your tools, we build non-invasive layers that run alongside them, so nothing is replaced. When we build a custom platform, it runs alongside your current tools and your team moves across only once it is ready. Anything that would require touching a core system itself gets flagged in scoping, in writing, before it is agreed.
We already tried Zapier and it kept breaking.
That is the usual story, and it is not really a Zapier problem. Trigger-based tools are fine until volume spikes or a system changes a field, at which point they fail quietly and someone finds out from a customer. Engineered integrations handle retries, failures and schema changes explicitly, and tell you when something has gone wrong rather than losing the record.
Who actually writes the code?
Our engineering team. Some work is delivered with engineering partners, and we may share in their fees when a client goes ahead. What does not change is who you deal with: SmartFlow scopes it, SmartFlow is accountable for it, and SmartFlow is who you call when you need something. One point of contact throughout.
What does it cost?
It is scoped to the work: how many bridges, which systems, and what those systems expose. The audit establishes exactly that. We take you through pricing afterwards, in writing, before anything starts. The audit itself is free and carries no obligation.
Do you need access to our systems?
Not for the audit. It maps process and tooling, not data, and we never ask for credentials on the call. Describing how a job moves through your systems is enough to find the gaps.
We are not in California. Does that matter?
No. We are based in North Hills, California, and work with businesses anywhere in the US. The audit, scoping and support all happen by video and phone.
